Purposes of Processing

The purposes of processing are the execution of the following tasks by the controller: technical implementation and support of web applications in order to enable activities within the framework of e-learning.


Legal Basis for Processing

The legal basis for data processing, if the user registers voluntarily on their own initiative, is provided by Art. 6 para. 1 lit. a GDPR and Art. 9 para. 2 lit. a GDPR – explicit consent of the data subject to the processing of personal data concerning them for one or more specific purposes.

The data collected are those required to use the services offered within a personal user account. It is necessary to provide first and last name (personal addressing), an email address (identification feature, enabling support, e.g., in case of forgotten password), and a password (login to the user account).

These data will under no circumstances be published or passed on to third parties. By registering, you declare your consent that all information provided will be stored in our database.


Types of Personal Data

Master data including contact data (e.g., name, first name, telephone number, email address, username, and password), statistical evaluations of learning progress.


Categories of Data Subjects

Groups of persons affected by data processing: students, teachers, managers, visitors of the web application.


Storage of the IP Address

The IP address transmitted by the web browser is stored strictly for a specific purpose for a maximum of seven days in order to detect, limit, and eliminate attacks on the websites. After this period, the IP address is deleted or anonymized. The legal basis is Art. 6 para. 1 sentence 1 lit. f GDPR.


Usage Data

Whenever a file is requested from this website, access data is temporarily stored. Each data record consists of:

  • the name of the file
  • the date and time of the request
  • the amount of data transferred
  • the access status (file transferred, file not found, etc.)
  • the description of the type of web browser used
  • the IP address of the requesting computer

The stored data is used exclusively for statistical purposes. No data is passed on to third parties, even in extracts.


Cookies

For technical reasons, we use temporary cookies (i.e., identifiers that a web server can send to your computer, also known as session cookies), which control your connection to our websites during the session. These are automatically deleted when you leave our website, and no data is stored on your computer.

Processing is carried out on the basis of Art. 6 para. 1 sentence 1 lit. f GDPR and in the interest of optimizing or enabling user guidance and adapting the presentation of our website.

You can configure your browser to inform you about the placement of cookies. This makes the use of cookies transparent to you. However, we would like to point out that the functionality of the service may be impaired if session cookies are not accepted.

If you allow all cookies, external tools from Google (Google Maps) will also be used in addition to technically necessary temporary cookies to display our main office on a Google map. These cookies are set based on your consent via the cookie banner.

If you only allow technically necessary cookies, the use of Google Maps will not be possible. You can change your cookie settings at any time to use Google Maps.


BigBlueButton

Video conferences are based on BigBlueButton technology (www.bigbluebutton.org, open source) and are encrypted. Uploaded data, chat histories, audio, video, emojis, and all recordings are automatically and irreversibly deleted after the session.

Access to video conference rooms is only possible with the moderator’s approval; otherwise, you will be placed in a waiting room as an invited participant. Therefore, knowledge of the conference link alone is not sufficient to participate.


Use of Collected Data

The personal data you provide to us on the above-mentioned occasions is required to fulfill the respective services. We only collect the data that is absolutely necessary for this purpose. Naturally, the data is used only for the purpose for which it was collected.


Data Security

We implement technical and organizational security measures to protect your data against accidental or intentional manipulation, loss, destruction, or access by unauthorized persons. Our security measures are continuously improved in line with technological developments.

No liability can be assumed for the actual process of data transmission over the Internet. Likewise, no claims can be derived against us for the loss of data, regardless of the reason.


Rights: Your Rights as a User

When processing your personal data, the GDPR grants you the following rights as a website user:

1. Right of Access (Art. 15 GDPR)

You have the right to request confirmation as to whether personal data concerning you is being processed; if so, you have the right to access this data and the information listed in Art. 15 GDPR.

2. Right to Rectification and Erasure (Art. 16 and 17 GDPR)

You have the right to request the immediate correction of inaccurate personal data concerning you and, if necessary, the completion of incomplete data.

You also have the right to request the deletion of personal data concerning you without undue delay if one of the reasons listed in Art. 17 GDPR applies, e.g., if the data is no longer necessary for the purposes pursued.

3. Right to Restriction of Processing (Art. 18 GDPR)

You have the right to request restriction of processing if one of the conditions listed in Art. 18 GDPR is met, e.g., if you have objected to processing pursuant to Art. 21 GDPR.

4. Right to Data Portability (Art. 20 GDPR)

In certain cases specified in Art. 20 GDPR, you have the right to receive the personal data concerning you in a structured, commonly used, and machine-readable format or to request transmission to a third party.

5. Right to Object (Art. 21 GDPR)

If data is processed on the basis of Art. 6 para. 1 sentence 1 lit. f GDPR (legitimate interest) or Art. 6 para. 1 sentence 1 lit. e GDPR (public interest or exercise of official authority), you have the right to object at any time for reasons arising from your particular situation.

We will then no longer process the personal data unless there are demonstrably compelling legitimate grounds that override your interests, rights, and freedoms, or the processing serves to establish, exercise, or defend legal claims.

6. Right to Lodge a Complaint with a Supervisory Authority

Pursuant to Art. 77 GDPR, you have the right to lodge a complaint with a supervisory authority if you believe that the processing of your data violates data protection regulations.


Existence of Automated Decision-Making

We do not use automated decision-making or profiling that produces legal effects or significantly affects the data subject (e.g., as used by insurers or credit agencies).


Duration of Storage of Personal Data

Personal data is stored only for as long as it is necessary for the purposes stated and in a form that permits identification of the data subjects.
